RetailUse case, not a client story

See every morning which stores lose money, and why.

Most retailers learn which stores lost money when the month closes, weeks too late to act. We build one morning view that shows each store's result for yesterday and the reason behind every number that is off.

The problem

You find out at month end. The loss happened weeks ago.

Sales sit in the POS, stock in another system, staff hours in a roster, rent and power in the accounts. Each store gets a sales number every day, but nobody sees its profit until finance closes the month. By then the markdown, the stock-out or the overstaffed shift is old news.

What was broken
  • Each store sees sales daily, but profit only after month end.
  • Sales, stock, rosters and costs live in different systems that do not agree.
  • Area managers build their own spreadsheets, each with different rules.
  • A drop in profit shows up as one number, with no reason attached.
  • Shrinkage and stock-outs are found at the stock count, not the day they start.
You might be here if
  • You cannot say which stores lost money last week.
  • Your area managers spend Monday building reports instead of visiting stores.
  • Two reports give two different sales numbers for the same store.
  • You close or refit stores on instinct more than evidence.

Why it mattered. A store that loses money for a month costs a month of losses. A store you see on day two costs one day, and you know what to fix.

The approach

One morning view, built with the people who use it.

In Week 1 we sit with your area managers and finance team. We agree what a store's daily profit is, line by line, and how each cost is shared out. Then we connect the systems that feed it and build the view they asked for, not a wall of charts.

The solution

A command centre for every store, every morning.

What we build
  • Connectors to your POS, stock system, rosters and accounts, including Tally or SAP, loaded every night.
  • One agreed daily profit per store, with written rules for how rent, power and shared staff are split.
  • A morning view that ranks stores against plan and last year, and flags the ones losing money.
  • A reason next to every flag: margin, stock, staff cost or sales, with a click through to the bills and stock behind it.
  • Early warnings for stock-outs on top lines, unusual returns and stock that is ageing.
  • A short morning summary sent to each area manager, so the day starts with the stores that need a visit.
It runs on Antvia, a bronze, silver and gold lakehouse plus BI, in your own cloud and on open formats, with personal data such as customer phone numbers masked. You own the data and the rules.
How it would runBuild runs from Week 2 to Week 6. Operate is open-ended and drawn at one week only to fit.
The impact

What we would measure.

From one red number to its causeEach store's daily result is broken into the four things a store manager can act on.
Schematic, no values
Every figure clicks through to the bills, stock movements or rosters behind it.
